IVI RMA Global Education is a world-leading educational institution specialized in reproductive medicine. With a rapidly expanding international presence, they provide elite training to medical, laboratory, and administrative professionals across multiple regions.
The Challenge
IVI RMA faced a critical transition after growing from 1,000 to 5,000 employees in just five years. Their previous system was limited, lacked personalization, and relied heavily on external tools via LTI. With presence in four regions and multiple brands, the company needed a solution capable of offering regional independence (with specific processes and methodologies) within a global framework.
Technically, it was imperative to integrate the ecosystem with SAP and Microsoft Teams to automate user management and reduce administrative burden. Additionally, they had to migrate over 3,500 courses and years of historical data without any loss, ensuring that their strategic “Learning for Excellence” (LFE) program remained the cornerstone of their professional development.
The Solution
In partnership with Actua, IVI RMA implemented Totara Learn using a multitenant architecture that allows local autonomous management for each market and brand, ensuring that each user accesses only the content relevant to their role and location.

Key pillars of the implementation include:
- Customization and Scalability: The project prioritized native Totara features, such as dynamic audiences and custom CSS for branding. This allowed for differentiated environments for each brand without compromising future system updates.
- Strategic Automation: Deep integration with SAP, Office 365 (SSO), and Microsoft Teams ensures that hiring, terminations, and profile changes are automatically reflected in the campus (“Campus NEO”). This guarantees consistent data in real-time and eliminates repetitive manual tasks.
- Learning for Excellence (LFE) Program: Using Totara’s Evidence module, the platform allows professionals to upload external training, congress presentations, and other contributions. These records feed into a personalized points viewer, providing a clear roadmap for continuous clinical excellence.
- Pedagogical Innovation: The platform acts as an innovation lab, integrating methodologies such as AI-cloned avatars to personalize content in six different languages and recommendation systems adapted to each employee’s history.
- Massive Migration: Specialized automation tools and unified templates were designed to successfully transfer 3,500+ courses and historical training records, preserving all previous employee achievements within the new system.
